We view our role as more than just a Third Party Administrator, but as a portal of reliable information and education. We’ll meet with any size organization and help strategize a plan that is comprehensive and achievable. We’ll meet with the employees during the initial enrollment meeting as well as conduct follow-up meetings whenever called upon.
New Client Implementation Timeline
Step 1: Review Your Benefits/Plan Design with OCA
Plan design is the first and most important step in creating an effective benefit program. Each worksite situation is unique and so the key is to design a plan that fits the employer’s goals and objectives. OCA will assist in designing a successful benefit program and review funding arrangements.
Step 2: Complete and Submit New Group Application
Once the benefit design is confirmed, the employer will need to complete OCA’s new group application. The application should be submitted to OCA’s sales executive for final review, who in turn will provide the information to OCA’s implementation team.
Step 3: OCA Creates Plan Documents and Processes Employee Enrollment Data
Once the application has been submitted to OCA’s implementation team, OCA will have the benefits and plan documents created within 5 business days. Around this time, the employee enrollment forms and/or census should have or needs to be sent to OCA for processing. As soon as the implementation team has finalized all the plan documents, OCA will send the documents to the employer’s attention for signature.
Step 4: “Congrats” Email Issued and Debit Cards Mailed (If Applicable)
OCA will send out a “congratulations” email to the employer with OCA’s contact information and administrative guides. Employees will also receive a “welcome” email providing them with login information to OCA’s secure employee portal. If applicable, debit cards will be issued to their corresponding home addresses.
Step 5: Using the Benefits
Through OCA’s member portal or mobile app, employees can submit claims, view balances, and substantiate debit card transactions. Depending on the set up, this can be done with a manual claim, through the OCA portal, or by using the OCA debit card. We recommend scheduling either an OCA onsite and/or webinar with your employees to review the program.
